How to Follow Up on an Estimate: Timing, Scripts, and What to Say

Follow up on an estimate within 24 to 48 hours of sending it, then again after about a week, and then once more before the price expires. Each message should be short, helpful and offer a specific next step, not just ask whether they have decided.

When should you follow up?

  • Same day: a quick message confirming they received it.
  • Day 2: a check-in asking if they have questions about the scope or options.
  • Day 7: a helpful message, such as an availability update or a relevant photo of similar work.
  • Before expiry: a note that the price and schedule are good until a specific date.

After that, one final polite message, then stop. Persistence helps; pestering hurts.

Sample text and email scripts

Day 2: "Hi [Name], it's [You] from [Company]. Just checking that the estimate for [job] came through okay. Happy to walk through any of the line items or adjust the scope if that helps."

Day 7: "Hi [Name], I wanted to let you know I have an opening the week of [date] for your [job]. If you would like to lock that in, I can hold it until [date]."

Before expiry: "Hi [Name], the pricing on your estimate is good through [date]. If you have questions or want to compare options, I'm glad to help."

How do you handle silence?

Silence often means the customer is busy, comparing quotes or unsure about the price. Ask a low-pressure question: "Is there anything that would make this easier to decide?" Offer options, such as phasing the work or a lower-cost material. If you still hear nothing, leave the door open.

What about price objections?

Listen first. Ask what they are comparing to, and explain differences in scope, materials and warranty. Offer a smaller scope or a payment schedule rather than cutting your price without a change in what you deliver.
